Kunstencentrum VIERNULVIER vzw (hereinafter ‘VIERNULVIER’) respects your privacy and complies with the General Data Protection Regulation (GDPR), a set of European rules to protect citizens with regard to the use of personal data.

In the text below we explain how VIERNULVIER processes and uses your personal data in order to optimise your visit to VIERNULVIER.

1. INTELLECTUAL PROPERTY RIGHTS

The contents of this site, including brands, logos, drawings, data, product or company names, texts, images, etc. are protected by intellectual rights and rightfully belong to VIERNULVIER or third parties.

2. LIMITATION OF LIABILITY

VIERNULVIER makes every effort to ensure that the information on www.viernulvier.gent is complete, accurate, precise and up-to-date. Despite these efforts, inaccuracies may occur. VIERNULVIER cannot be held liable for any direct or indirect damage resulting from the use of the information on this site.

The website may contain hyperlinks to websites or pages of third parties, or refer to them indirectly. Linking to these websites or pages does not in any way imply implicit approval of their content.

What are cookies?

Cookies are small files that are stored on a device’s hard drive to keep track of your preferences online. Cookies never store personal information such as your name, address, age or other characteristics. What cookies do store are your IP address, your browser type and your login details. Your preferences and interests, based on your browsing behaviour, are also stored.

Functional cookies

These cookies are necessary in order for you to be able to browse the website properly. They allow you to navigate the website and use its features. Functional cookies also increase the user-friendliness of the website by remembering your choices (e.g. language preference).

Performance cookies

We use performance cookies to collect anonymous data about the use of this website. This anonymised data includes the number of visitors, the time they spend on a given web page, the error messages they receive and how they arrive at our site. We use Google Analytics for this purpose. Statistics are generated based on the collected information. These statistics give us a crucial insight into the use of the website and enable us to make the site’s structure, navigation and content as user-friendly as possible for you. The statistics and other reports are always anonymous and are never traced back to individuals.

Advertising cookie

With the Facebook Conversion Pixel we register users’ buying behaviour after viewing an ad on Facebook / Instagram. This cookie allows us to track and customise our Facebook and Instagram ads. We do not store this info in any way; it is only to the user's Facebook profile.

It is possible to configure your browser such that it warns you each time new cookies are created or prevents their creation. However, you should bear in mind that if you refuse to allow cookies, you might not be able to use a number of features on the site.

4. SOCIAL MEDIA

VIERNULVIER also communicates about its events and general news on social media. We usually respond to comments or messages addressed to us. You may also encounter VIERNULVIER advertisements on social media.

5. PERSONAL DATA: COLLECTION / PROCESSING

VIERNULVIER respects the privacy of visitors to its site and therefore wants to do its best to inform you as clearly as possible about the way we collect and use your personal data. We have drawn up a privacy policy in which you can find all the necessary information. We advise you to read this policy thoroughly before you provide us with any information about yourself. 5.1. Collection via ticket purchase (lawful basis: contractual)

Ticket sales at VIERNULVIER are transacted via the Ticketmatic ticketing system (www.ticketmatic.be), unless otherwise indicated at the performance itself.

Ticketmatic complies with the rules set out in the GDPR and will under no circumstances use your data. They only have access to our sales dashboard to ensure a smooth operation of the system.

When purchasing a ticket (online, by phone or at the Ticket Desk) some personal data is requested (name, postal address, telephone number, email address). This data is stored in the CRM of the ticketing system and may be used in the provision of our services, such as:

●                Issuing your (e-)ticket

●                Ticket check at the door

●                Pre- and post-event emails regarding the show

●                Messages relating to changes / cancellations of the show you have booked for

●                Later messages relating to similar shows (occasional / both via email and post)

●                Processing customer details / data analysis / determining tariffs

 

Your details are stored for up to five years after your last ticket purchase.

5.2. Collection after receiving your explicit permission / marketing (lawful basis: permission)

You have the option to explicitly sign up for our digital newsletters or printed promotional materials directly via the website, while buying a ticket (on- or offline) or by emailing info@viernulvier.gent. By signing up in this way you give us explicit permission to keep you informed via the channel of your choice. If you sign up via the website, your personal data will be safely passed on to Campaign Monitor. If you sign up when purchasing a ticket, your personal data will be securely transferred to Ticketmatic and Campaign Monitor. Your email and newsletter preferences are securely stored at Campaign Monitor. You can unsubscribe or change your registration details at any time.

Your data will be stored for up to five years after the last action you took in relation to an email from us.

5.3. Communication (lawful basis: legitimate interest)

When you send us an email or postal letter (e.g. when participating in a contest), it is possible that we will keep those messages. Sometimes we will ask you for your personal information relevant to the situation in question. This enables us to process your questions and answer your requests. The data is stored on secure servers. We will not combine this with other personal data that may be in our possession.

Occasionally we send emails or postal letters promoting shows that are directly related to a customer’s recent visit (e.g. sending the guide for the new season to subscribers and customers of the two previous seasons).

Your data will be kept for up to five years after the last purchase of a ticket in your name.

5.4. Images/footage of visitors

The VIERNULVIER building is constantly videoed for security purposes.

During events organised by VIERNULVIER, a photographer is often present to document the atmosphere. These photos may be published on our website, on social media and in our printed promotional materials. The photos usually depict the artists and the event’s audience. Occasionally, as a spectator, you may be recognisable in one of the photos. All photos are stored on VIERNULVIER's secure server.

Some events in VIERNULVIER are recorded. The footage is broadcast live on social media and made available later on social media and/or used as part of a promotional video that is edited afterwards. It may happen that the audience is recognised in this footage, although there is no focus on faces.

5.5. Third parties

As well as selling tickets for its own programme, VIERNULVIER also provides tickets for the Minardschouwburg and for rental partners (e.g. Democrazy, Curieus, Nasty Mondays, etc). Occasionally, there are also shared ticket sales with cultural partners in Ghent (e.g. De Bijloke, Ghent Festival, Film Festival, NTGent).

Minardschouwburg

VIERNULVIER acts as an external box office for Minard. The VIERNULVIER Ticket Desk only has access to the customer details that are registered when purchasing a ticket. These customer details are only used for necessary services, such as sending tickets by post, issuing refunds, following up on orders or informing customers of changes. All information about Minard’s privacy policy can be found at www.minard.be.

Rental partners / shared ticket sales:
VIERNULVIER may share with an event organiser the personal details provided by the customer when purchasing tickets for the event in question.

This may be in order to maintain the smooth operation of the Ticket Desk, to manage the administration of (shared) ticket sales or to keep you informed of a similar performance in the future (legal basis: justified interest).

Upon receipt of the personal data, the organiser undertakes to respect the GDPR regulations.

6. WHAT RIGHTS DO YOU HAVE?

As a user, you also have a number of rights relating to your personal data. If you would like to invoke any of these rights, please contact  directly by sending an email to privacy@viernulvier.gent. We will comply with your request as soon as possible and within thirty days at the latest.

Right of access and rectification: you have the right to access all personal data that we collect from you. Any incorrect or incomplete data can be changed or deleted.

Right to be forgotten (right of erasure): a visitor always has the right to have their data removed from our databases, unless these data are necessary for the execution of a contract or the observance of a legal obligation.

7. CHANGES TO THE USER AGREEMENT

VIERNULVIER reserves the right to change this user agreement at any time. The amended user agreement will be announced on VIERNULVIER's website and will automatically take effect thirty days after its initial publication on the site.
